What is a USI?

A Unique Student Identifier (USI) is required by all students undertaking nationally recognised training delivered by a registered training organisation. A USI give students access to their online USI account which allows them to view their training records and results.

Why do I need a USI?

Students who need a USI include: - students who are enrolling in nationally recognised training for the first time;
- school students completing nationally recognised training; and
- students continuing with nationally recognised training.
You will not be able to receive your Qualification until you provide your USI to your training organisation.

My VET FEE Help form doesn’t list the correct course price because I am getting RPL/CT’s

Students who are applying for Recognition of Prior Learning (RPL) or Credit Transfers won't receive confirmation of their course tuition fee amount until Student Services has received confirmation that the RPL Assessments have been successfully completed or until your Credit Transfer Application has been assessed. You will receive confirmation of your course tuition fee price in an email from Student Services.

Can you send me a letter for centrelink?

Centrelink will accept your Confirmation of Enrolment Email (Welcome Email) sent to you when you are enrolled from Student Services. If you require a copy of this, please send a request to student.services@australiscollege.edu.au.

Can I get a Certificate reprint?

Can you email me a copy of my certificate?

Unfortunately, we cannot email copies of qualifications to students. This is due to the ease of electronic copies being falsified. If you require your certificate urgently, please email student.services@australiscollege.edu.auand we can arrange for this to be sent via express post.

How much is my VET FEE Help Debt?

Student Services email Commonwealth Assistance Notices once you have passed a census date which outlines how much VFH debt you have incurred for that unit of study. To check your total VFH debt charged, log on to My Uni Assist: https://app.heims.education.gov.au/myuniassist/Forms/Logon.aspx
This will display that VFH Debt you have incurred that has been reported to the Department of Education.

I did my tax return, and it says I have a VET FEE Help debt, but I cancelled my course

If you withdraw from a course after a census date you will have incurred a VET Fee-Help debt. This is explained in the terms and conditions of the VFH Assistance Form. VET Fee-Help debt can be reversed in Special Circumstances. The Australis College Special Circumstances Policy can be accessed:

How long does it take to complete a SEQUAL Registration course (or Renewal)?

We suggest to allow 2-3 hours to complete the course.

I just hit submit on my SEQUAL Assessment. How long until I get my certificate?

Your Trainer will be notifying SEQUAL shortly of your completion. SEQUAL will then issue your certificate. If you have questions in regards to this please call SEQUAL directly on 1300 784 532.

Can I apply for an extension?

It is your responsibility to dedicate the time and commitment required to complete the course you have enrolled into. However, if you have any concerns or circumstances impacting on your ability to complete your course within your study plan timeframe, please contact your Trainer or our Student Support team on 1300 887 991 or email support@australiscollege.edu.au. They are able to offer advice options, and/or discuss tools and techniques to assist you towards completion. Students may apply for a course or unit of study extension by completing an Extension Request Form available from Student Services.

This is considered by the General Manager of Faculties in consultation with the Head of Faculty, Student Support Manager and Student Services Manager Students who do not demonstrate progress or complete their course after an extension has been granted will be required to re-enroll in their course and incur fees for units of competency not completed in order to proceed. These fees will be calculated as per the current Schedule of Tuition Fees published on the Australis College website www.australiscollege.edu.au/students/.

Can I defer my studies?

Students may re-enrol in their course if they require more time to complete or wish to defer their study program.

  1. Students can request a Re-enrolment Form and send their completed application to student.services@australiscollege.edu.au no later than two (2) weeks before the end date of their course.
  2. Students will be advised by Student Services the adjusted fee schedule and timeframe for units of competency not completed applicable at the time of their re-enrolment if they wish to proceed.
  3. The Trainer or Head of Faculty will contact the student to develop a new study plan to help them achieve their qualification within the new timeframe.
  4. Students who meet the eligibility criteria set in the Australis College VFH Special Circumstances and Review Policy (POL_TA_VFH1) will be considered by the Chief Operations Officer and notified in writing of the outcome.

Can I use any web browser program to access iTrain?

The system is optimised for use with Chrome.  If you are using another web browser program you may find that some of the functions do not work correctly e.g. save and submit button.

What program should I use for typing up my assessment so that the trainer can read it?

If you are typing up your answers please remember that it is acceptable to upload either a Microsoft Word document or a PDF.

Can I change my password in iTrain?

Yes. Log into iTrain with your current password. On the top left-hand side of your screen, click on ‘account’, and then click on ‘settings’.

On the right-hand side of the screen, you will then see ‘edit settings’, which you click on. All of your name and time zone details will appear. Under that information is where you click ‘change password’. You will then be able to create a new password.

I find it hard to work online, can I complete my assessments offline?

As this is an online course, we recommend that you work online. Australis College is committed to the learning experience of students to provide high-quality training which will provide graduates with industry-ready knowledge and skills when they have completed the course. We continually work with industry specialists, industry feedback and student feedback to update our coursework to achieve a high standard for our students. If you are working offline, you may not be aware of the updates that have occurred and may be working on previous version assessments. Working online ensures that you are completing the most up-to-date coursework.

Can I skip assessments and move on to the next one?

We encourage students to work in order and complete one unit at a time. This helps to learn holistically and focus on one subject at a time. Some of our units are built upon the skills and knowledge learnt in a previous unit, therefore, completing them in order helps to complete later assessments. Our order of units has been developed in consultation with industry stakeholders and subject matter experts, which have helped to structure the course to best support student learning. There may be a few exceptions to working out of order, however, these individual needs should be discussed with a trainer.

I am struggling with my studies, where can I get help?

The training team is here to provide support. The most effective thing you can do when you are needing support with your studies is to ask for it.

While our training team is effective, we are unable to tell when you are struggling without you telling us. Call, send an email, attend one of the many live classrooms that we have available to reach out for help.

You might find looking for a study buddy in the study buddy section in iTrain or looking through some of the forums. Reach out for support with your studies as soon as you need support, rather than letting the struggles build and getting further behind in your studies.

There are a number of areas you can look at to seek volunteering

When do I receive my text book quiz?

There is no need for a textbook in any of the Community and Counselling courses as we provide a comprehensive learner guide. We do provide a text book in the Diploma of Counselling after a student has completed the second unit of competency, this is used to enhance learning.

I can't upload my assessments or documents in iTrain, can I email them to the training team?

As our course is completed online, we require all student assessments to be uploaded to iTrain, the online student portal. This process is required for quality, recording and compliance purposes. If you are unable to upload documents or assessments through iTrain, please join one of the live classes or contact the training team so we can work with you to submit your assessments as required.

How do I complete a National Police Check?

If your course requires placement, you will be able to complete a National Police Check through Australis College. This is located in your Online Live course under volunteering preparation. 

In that section, you will find a link to the National Police Check. There are detailed instructions on how to complete the police check.

Most importantly, the documents are to be completed by hand, 100 points of certified (signed by a JP) is required and all of these documents should be legible and clear to read.

Once you have completed your documentation and have your certified identification, upload these into the National Police check section by clicking ‘submit assessment’.

When can I start placement?

If your course has requirements to complete volunteer placement hours, we recommend that students start these hours by the second unit. For most students, we recommend completing placement one day per week for a 5-8 hours per week. It is important to note that there are a number of units that require placement to complete assessment items. You will need to complete placement for the duration of your course.

Can I do the placement in my current workplace?

If you work in the community services industry and your role fits with the course you are studying, then you may be able to complete your placement in your current workplace. It is important that you discuss your role with a trainer prior to completing placement documentation to ensure that it is an appropriate role/workplace to be completing your assessment work. You will need to provide the training team with a copy of your position description and a letter from HR stating how long you have worked in that role so we can ensure that your current role will be able to support you to completing the assessments. Please note, your work should involve working directly with clients in the industry rather than an administration or another non-industry related role. Can I do placement at the end of the course?

The simple answer is No. As many of our assessments are linked to placement, you are required to be on placement for the duration of your course. Placement is a valuable learning tool which can help provide practical experience to enhance your knowledge and skills of your course. Placement may help you to link with other networks, gain employment or even have your supervisor as a reference for future job applications. You should start your placement by your second unit.

How long until each assessment is marked?

Assessments are marked within five (5) business days of submitting. Sometimes the assessors may mark a little bit quicker or a little bit longer due to the number of assessments in an assessor’s queue. As they are marked in the order they are received, we try to have the assessment turn around as quick as possible. If you have not received your assessment back within five (5) business days, please email the training team at community@australiscollege.edu.au so we can follow up with an assessor for you.

Is Community Linkup a real service?

Community Linkup (previously known as Community Link) is not a real service. Australis College has created Community Linkup as a simulated organisation to support you to demonstrate and complete assessments in role-play scenarios. When an assessment refers to Community Linkup, you are to assume that it is a service in your community.

Some of our assessments are completed with trainers and assessors to support you to develop the skills required in a controlled, supportive environment. When completing role plays and practical assessments with assessors, these are completed through the Online Live course through the virtual classroom in iTrain. You will need to contact the training team to organise a time to complete the assessments.

We encourage students to work in order and complete one unit at a time. This helps to learn holistically and focus on one subject at a time. Some of our units are built upon the skills and knowledge learnt in a previous unit, therefore, completing them in order helps to complete later assessments. Our order of units has been developed in consultation with industry stakeholders and subject matter experts, which have helped to structure the course to best support student learning. There may be a few exceptions to working out of order, however, these individual needs should be discussed with a trainer.

Why do we have to do the role plays and how do I do them?

Role plays provide an opportunity to apply the skills and knowledge that you have learnt throughout the course. The instructions for role plays are included in each role play assessment. You may be required to complete role plays with friends, family or anyone willing to participate that is over 16 years old and provide consent to participate.

Participants should read any scenarios and discuss the purpose of the assessment prior to the role play being recorded. These should not be scripted, instead, allow the assessor to assess your knowledge and skills of the role play.

Role plays can be recorded using the record function on the assessment or using a smartphone. Students can use a free program ‘handbrake.fr’ to shrink the file to upload it into the assessment before uploading

If I am enrolled in all three courses what is the breakdown for the reduced hours across the clinic logbooks?

Here is the breakdown of clinic hours for students enrolled in all three Adv Dip qualifications. 

  • All of the logbook hours for the Advanced Diploma of Naturopathy – 400 hours in total.
  • Advanced Diploma of Nutritional Medicine is 100 additional hours (instead of 200).  This is made up of:
    • Component A is 70 hours (primary consultations and observations), of which there must be:
      • A minimum of 15 primary consultations as a practitioner, using Nutrition to treat. 
    • Component B is 30 hours of work experience etc.  
  • The Advanced Diploma of Western Herbal Medicine is 100 additional hours (instead of 250).  This is made up of:
    • 70 hours of consultations, of which there must be a minimum of:
      • 14 primary consultations as practitioner, using WHM to treat
      • 33 observations
      • 23 case analyses
    • 30 hours work experience
